Tenant Information

Gilpin Management Services manages more than 250 homes for rent in Snohomish County. Our property management team is available to answer questions, coordinate maintenance, and accept rent for the duration of your tenancy.

Here’s some key information to keep in mind:

Paying Rent

  • Rent is due in full on the date shown on your lease. There is usually a three-day grace period. After that day, a late fee will be required, as per your lease.

  • Rent may be paid by personal check, cashier’s check, or money order and mailed to 1030 Avenue D #12, Snohomish, WA 98290. We also offer an online payment option. WE DO NOT ACCEPT CASH.

  • NSF checks will result in an NSF charge as shown on your lease. All NSF checks returned shall be immediately paid to GMS, LLC by cashier’s check or money order, for the amount of the NSF check plus NSF charges. If a tenant has a check returned, all future rents must be paid with cashier’s checks or money orders only. GMS, LLC will no longer accept future rents paid with personal checks.

Pets on the Property

  • If your lease was written to include a pet, then you are allowed to have THAT pet as long as you follow the rules and requirements stated. Any additional pets must have PRIOR written approval by your property manager.

  • If you have not had a pet and are considering one, please be aware that you will need to have written permission from the landlord and there is a non-refundable pet fee required BEFORE you have the pet.

Common Questions from Tenants


Is there a fee for E-check payments?

Yes, GMS charges a $3.00 convenience fee for all E-check payments.

Do you have any available rentals?

GMS is continually filling vacancies at all of our rentals. We update our available rentals daily online.

How do I apply for a rental?

You may apply online for our rentals.

How much is your application fee?

Our application fee is $45 per applicant over the age of 18 planning to reside in the rental property. NO cash payments or checks of any sort. GMS will call you to collect the application fee via debit or credit card.

Does my 19-year-old need to fill out an application?

Any person over the age of 18 planning to reside in the rental property must fill out an application.

How long does it take to get an approval on an application?

Results will be given in 3 business day or less.

What does your application process involve in terms of paperwork?

We require the application itself completely filled out along with 2 copies of your most recent paystubs and driver’s license. If you do not have current paystubs, you may upload your last 2 years of tax statements, but you must also provide proof of employment. You can upload these documents during the online application process.

On my application what criteria is looked at to be considered for a property?

We check your rental history, employment, income, credit, a criminal background check and the ability to keep the home maintained and cared for.

Do you allow for people with a bankruptcy or bad credit? Should I even bother to apply?

All applications are reviewed on a case-by-case basis with all factors considered. Each owner we represent may have different standards. At times some owners have overlooked bankruptcy and/or bad credit. We explore all aspects including your actual credit report, ability to afford the rent, a stable income and current and past rental references. It’s also important to explain your situation and alert us if you expect your credit to be negative or if you have a criminal history.

If my application is accepted, how much of my deposit is due before I may move in?

The first month’s rent and the required security deposits must be paid in full with separate cashier’s checks or money orders prior to move in.


The Move Out Checklist

Once you have given proper written notice of intent to move (usually a minimum of 20-30 days prior to when the rent is due), use this checklist to guide you in move out requirements. Costs associated with each item that is NOT done are also listed.

We are more than happy to refund your deposit if the home is in the same condition as when you moved in. Please check to see that the following things are accomplished. The listed amounts will be deducted from your deposit if they are not cleaned satisfactorily.

Kitchen

  • Cupboards ($50): Clean inside and out. Grease to be cleaned from cabinet doors. Counter tops and back splashes must be cleaned.

  • Stove ($100): Clean inside and out. Top of stove to be cleaned as well as oven and burners. Drip trays cleaned or replaced.

  • Sinks and Faucets ($50): cleaned and all deposits removed. Garbage disposal empty and running clean.

  • Floors ($100): Scrubbed and baseboards washed down.

  • Refrigerator ($50): Defrosted and cleaned inside and out.

  • Grease and Food Splatters ($50): All grease splatters and food cleaned off walls, door frames, and cupboard doors.

  • Window ($100): Inside windows and sills cleaned.

  • Dishwasher ($50): Cleaned inside and out.

Bathroom

  • Porcelain ($100/bathroom): All porcelain areas should be scrubbed and disinfected with residue removed.

  • Surfaces ($100/bathroom): Shower stalls, bathtubs, toilet, floors, sinks, and countertops should be cleaned.

  • Floors ($50/each): Should be scrubbed.

  • Baseboards ($50/each): Should be cleaned.

  • Windows ($50/each): Should be cleaned.

  • Shower Doors ($50): Shower doors should be cleaned as well as the frame that holds them in place.

  • Medicine Cabinet ($25): Should be cleaned, shelves washed off, mirrors cleaned.

Living Room and Bedrooms

  • Carpets: Should be vacuumed and professionally cleaned. No rented machines. Carpet damage will be charged by the room where it needs to be replaced.

  • Baseboards and Windowsills ($100): Should be cleaned. Windows/sliding doors cleaned inside and out.

  • Closets ($20/each): Should be cleaned.

  • Fireplaces ($100): Should be cleaned out and outside of glass cleaned.

Miscellaneous

  • Light Bulbs ($5/bulb): Bulbs in all fixtures.

  • Yard ($200): Should be mowed, trimmed and flower beds in order.

  • Garbage ($15/bag / $150/pickup load): No garbage should be left.

  • Large Items ($75/load): Should be hauled to dump or otherwise removed.

  • Fumigating ($300): Fumigating charges will apply if it is needed.

  • Carpet Cleaning: Should be vacuumed and professionally cleaned. No rented machines. Carpet damage will be charged by the room where it needs to be replaced.

  • Fixtures (Cost + $50/hr): Missing, damaged, or destroyed fixture items (i.e. doors, appliances, fixtures, lights) will be charged at replacement cost. Work will be based on $40 per hour labor rates or standard contractor rates for wall/structure repairs.

  • Garage and Carport ($50): Sweep and remove cobwebs.

  • Baseboards and Window Sills ($100): Should be cleaned; windows/sliding doors inside and out.

  • Built-Ins ($50): Cleaned and dusted.
